To brief any of our employees, officers, agents, suppliers or subcontractors insofar as reasonably necessary for the purposes as set out in this privacy policy e.g. upon your request to one of our ‘Friends of’ accredited suppliers to provide a quote for catering or marquee hire and generally to fulfil an event booking.

We will only pass your data to 3rd parties where we use a third party purely for the purposes of processing data on our behalf:

Currently:

1. We use ‘Mailchimp’ to process data in regard to enquiries. Mailchimp's privacy policy is available at https://mailchimp.com/legal/privacy/;

2. We use ‘Surveymonkey’ to process data to ask for feedback in regard to our services. Surveymonkey's privacy policy is available at https://www.surveymonkey.com/mp/legal/privacy-policy/;

3. We use ‘Xero’ to process data in regard to finances e.g. to send quotations, invoices & statements to you and collect payments from you. Xero’s privacy policy is available at https://www.xero.com/uk/about/terms/privacy/.

In addition, we will only pass data to 3rd parties outside of the EU where appropriate safeguards are in place as defined by Article 46 of the General Data Protection Regulation.

Possibly in the future:

1. To an alternative 3rd party to process the data as set out in this policy e.g. an alternative or supplementary supplier to Mailchimp, Surveymonkey or Xero;

2. To the purchaser (or prospective purchaser) of any business or asset which we are (or are contemplating) selling;

3. We are required by law to share your data or in connection with any legal proceedings or prospective legal proceedings or in order to establish, exercise or defend our legal rights.

5. How long we keep your data

We take the principles of data minimisation and removal seriously and have internal policies in place to ensure that we only ever ask for the minimum amount of data for the associated purpose and delete that data promptly once it is no longer required.

Please note that relying on some of these rights, such as the right to deleting your data, will could make it impossible for us to continue to deliver the service required e.g. in regard to an event booking or in a legal proceeding. However, where possible we will always try to allow the maximum access to your rights while continuing to deliver the service we are required to provide.

7. Cookies & usage tracking

A cookie is a small file of letters and numbers that is downloaded on to your computer when you visit a website. Cookies are used by many websites and can do a number of things, e.g. remembering your preferences, recording what you have put in your shopping basket, and counting the number of people looking at a website.

We DO NOT use cookies to collect personal data.

However, we use some cookies that do not collect personal information, but that do help us collect anonymous information about how people use our website. We use ‘Google Analytics’ for this purpose. Google Analytics generates statistical and other information about website usage by means of cookies, which are stored on users' computers. The information collected by Google Analytics about usage of our website is not personally identifiable. We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. We will store all the personal information you provide on our secure (password and firewall protected) computer + back up drive(s). We take great care to ensure any confidential information remains protected, but we cannot guarantee the security of data sent over the Internet.

We may modify this Privacy Policy from time to time and will publish the most current version on our website. If a modification meaningfully reduces your rights, we'll notify people whose personal data we hold and is affected.
